Zen Pet Grooming Customer Agreement & Terms

1. TERMS OF USE
 

At Zen Pet Grooming, we are passionate about providing every pet with a calm, compassionate, and low-stress grooming experience. Our mission is centered on your pet's comfort, health, safety, and overall well-being while helping them look and feel their very best. To ensure a safe, enjoyable, and consistent experience for every pet and pet parent, we have established the following policies and procedures. We look forward to caring for your pet.​ By clicking the "Accept" button below, scheduling an appointment, or leaving your pet in our care, you acknowledge that you have read, understand, and agree to the following Terms and Conditions governing the grooming services provided by Zen Pet Grooming.

Before making a reservation and entrusting your pet to our care, please review the following:

(i.) This Grooming Agreement explains the rights, responsibilities, and obligations associated with your reservation and the services we provide. Please read it carefully before your appointment.

(ii.) By using our online reservation system, scheduling an appointment by phone or in person, or receiving grooming or related services ("Services") from Zen Pet Grooming, you agree to be bound by this Grooming Agreement, our Privacy Policy, and any health, safety, or salon policies that may be in effect.

(iii.) You understand that this Grooming Agreement is entered into with Zen Pet Grooming, an independently owned and operated grooming salon, and applies to all grooming and related services provided by our team.

(iv.) You are responsible for any injury, damage, or loss caused by your pet to another person, pet, or property while your pet is in our care. To the fullest extent permitted by law, you agree that Zen Pet Grooming shall not be responsible for damages arising from your pet's behavior except where caused by our negligence or otherwise required by law.

 

2. YOUR REPRESENTATIONS TO US

You represent and warrant that you are the legal owner or authorized caretaker of your pet and accept responsibility for all fees associated with the services provided. Each time you schedule an appointment or leave your pet in our care, you further represent and warrant that:

(i.) Your pet has no illness, injury, medical condition, or behavioral issue, including aggressive or biting behavior, that has not been disclosed to us.

(ii.) To the best of your knowledge, your pet is healthy enough to safely receive the requested services, except for any conditions you have disclosed to us.

(iii.) Your pet meets all eligibility requirements outlined in this Grooming Agreement.

(iv.) All information you provide regarding yourself and your pet is accurate, complete, and current, including vaccination records, medical conditions, behavior history, emergency contacts, and contact information. You agree to notify us promptly of any changes.

(v.) Your pet has not seriously injured or killed another person, dog, or other animal and has not been declared dangerous or vicious by any governmental authority.

(vi.) You have not knowingly misrepresented your pet's breed, age, health, or behavioral history.

(vii.) You agree to pay all charges incurred for grooming services, approved add-on services, handling fees, emergency veterinary treatment authorized under this Agreement, and any outstanding balances associated with your pet's visit.

(viii.) Your pet has not been diagnosed with, exposed to, or shown symptoms of rabies, distemper, Bordetella, canine influenza, parvovirus, or any other contagious illness within the thirty (30) days preceding the appointment.

 

3. RESERVATION ACCEPTANCE

Scheduling an appointment does not guarantee that services will be provided. For the safety of our team and all pets in our care, Zen Pet Grooming reserves the right to refuse, modify, postpone, or discontinue services if your pet does not meet the eligibility requirements outlined in this Agreement or if we determine that providing services would create an unreasonable risk to your pet, our staff, or other pets.

This includes, but is not limited to, concerns regarding health, vaccinations, parasites, coat condition, temperament, aggressive behavior, excessive stress, or any other circumstance that may compromise the safety or well-being of those involved.

 

4. PAYMENT FOR SERVICES

Payment is due upon completion of your pet's appointment unless otherwise agreed in writing. Pricing is based on several factors, including breed, size, coat type, coat condition, temperament, behavior during the grooming process, time required, and any additional services requested or determined to be necessary during the appointment. All pricing displayed online, over the phone, or in marketing materials represents starting prices only. Final pricing will be determined after your groomer has evaluated your pet. Prices are subject to change without prior notice.

 

5. ELIGIBILITY FOR SERVICES

The safety, comfort, and well-being of every pet remain our highest priorities. Zen Pet Grooming reserves the right to refuse, modify, or discontinue services if we determine that grooming would not be in the best interest of your pet, our staff, or other pets in our care.

Eligibility requirements may vary based on your pet's age, health, behavior, coat condition, local regulations, and the specific services requested. Additional requirements and health guidelines outlined throughout this Grooming Agreement also apply. Failure to meet any eligibility requirement may result in services being declined, modified, or discontinued at any time before or during your appointment.

 

 

ELIGIBILITY CRITERIA

For the safety of every pet, pet parent, and team member, Zen Pet Grooming reserves the right to refuse, modify, or discontinue services if a pet does not meet the following eligibility requirements. Eligibility Criteria:

Age

8 weeks and older.

Required Dog Vaccinations

Rabies (1-year or 3-year), unless exempt by age or applicable law. Puppies between 8 and 16 weeks may be exempt. Vaccinations must be administered at least 48 hours before the appointment.

Recommended Dog Vaccinations

DAPP/DHPP (Distemper, Adenovirus, Parvovirus, Parainfluenza), Bordetella (every 12 months), and Canine Influenza.

 

Required Cat Vaccinations

Rabies (1-year or 3-year), unless exempt by age or applicable law. Kittens between 8 and 16 weeks may be exempt.

Heart Conditions (Cats)

Restricted Species or Breeds

We reserve the right to decline services for any species or breed prohibited by federal, state, or local law.

Medication

Pets receiving medication may be groomed if they are stable, alert, and not sedated. We cannot administer medications during appointments.

Human Aggression

We cannot accept pets with a history of unprovoked aggression that has resulted in injury to a person.

Pet Aggression

We cannot accept pets with a history of unprovoked aggression toward other animals that has resulted in injury.

Food Aggression

Can be accommodated, as food is not provided during grooming appointments.

Kennel Anxiety or Aggression

Express grooming may be recommended to minimize kennel time.

Toy Aggression

Can be accommodated, as toys are not used during appointments.

Recent Contagious Illness

Pets with a contagious illness, or exposure to one within the previous 30 days, cannot be accepted.

Medical Conditions

Pets with conditions such as heart disease, diabetes, collapsing trachea, cancer, liver disease, arthritis, or similar conditions may be accepted if medically stable. Express grooming may be recommended for their comfort and safety.

Sedation

We cannot groom pets that have been sedated.

Females in Heat

Express grooming may be required.

Pregnancy

For the safety of both mother and puppies or kittens, we cannot groom pregnant pets.

Unaltered Pets

Accepted.

Mobility

Pets must be able to stand safely for portions of the grooming process, with reasonable accommodations when appropriate.

Recent Surgery

May be accepted if fully recovered, free of stitches, and not sedated within the previous 24 hours.

Open Wounds, Stitches, Staples, Bandages, or Protective Clothing

Cannot be accepted until fully healed.

Elizabethan (E-) Collars

Cannot be accommodated during grooming.

Fleas or Ticks

Pets found with fleas or ticks will require a flea/tick treatment at the owner's expense before grooming can continue.

Blind or Deaf Pets

Welcome. We are happy to accommodate pets with vision or hearing impairments using gentle, low-stress handling techniques.

 

6. ABOUT THE SERVICES

(i.) Service Guarantee & Limited Warranty

At Zen Pet Grooming, your pet's health, safety, and comfort will always come before cosmetic appearance. While we strive to achieve the style you request, our groomers may modify or discontinue services whenever they believe doing so is in your pet's best interest. We do not offer refunds for completed grooming services. If you are dissatisfied with your pet's groom, please notify us before leaving the salon whenever possible so we have the opportunity to make minor adjustments immediately. If additional adjustments are needed, please contact us within 24 hours of your appointment. We will gladly evaluate your concerns and, when appropriate, schedule a complimentary touch-up. If our groomer determines the requested changes differ from the original instructions provided during check-in, or if the request is made more than 24 hours after the appointment, additional grooming charges may apply. Except as expressly provided above, Zen Pet Grooming makes no additional warranties, express or implied, regarding grooming services. To the fullest extent permitted by law, Zen Pet Grooming shall not be liable for indirect, incidental, special, or consequential damages arising from services provided. Our maximum liability shall not exceed the cost of the grooming service performed.

 

(ii.) Late Arrivals

Appointments are scheduled to provide each pet with the time and attention they deserve. Pets arriving 15 minutes or more after their scheduled appointment may forfeit their appointment and be considered a no-show. If our schedule allows us to continue with the appointment, late arrival fees may apply, and we may modify the scheduled service to accommodate the remaining appointment time. For the comfort of all pets, we ask that arrivals occur no earlier than 10 minutes before the scheduled appointment unless otherwise arranged.

 

(iii.) No-Shows & Cancellations

We kindly request at least 24 hours' notice for appointment cancellations or schedule changes.

Appointments canceled within 24 hours or missed without notice are subject to applicable cancellation or no-show fees. Repeat late cancellations or missed appointments may require a non-refundable deposit or prepayment before future appointments can be scheduled.

Zen Pet Grooming reserves the right to decline future appointments for clients with repeated late cancellations, no-shows, or unpaid balances.

 

(iv.) Fleas & Other Parasites

Fleas and ticks present a health risk to pets, our team, and other guests. If fleas or ticks are discovered during your pet's appointment, a flea and tick treatment will be required before grooming can continue, and an additional treatment fee will apply. Zen Pet Grooming does not use pesticide dips. If ticks are discovered, we recommend consulting your veterinarian for proper removal and follow-up care.

 

(v.) Mat Removal

Severely matted coats can cause significant discomfort, restrict circulation, trap moisture, conceal skin infections, and harbor parasites.

When matting cannot be safely brushed out, shaving may be the most humane and safest option for your pet. You understand that removing severe matting carries inherent risks, including cuts, nicks, abrasions, skin irritation, hot spots, bruising, hematomas, clipper irritation, and the discovery of previously hidden skin conditions. These conditions are often caused by the matting itself rather than the grooming process. You authorize Zen Pet Grooming to remove matting in the manner our groomer determines is safest for your pet. You understand that the final haircut may be considerably shorter than originally requested and agree that Zen Pet Grooming shall not be held responsible for medical conditions or coat issues resulting from pre-existing matting or coat neglect.

 

(vi.) Shave Downs

Zen Pet Grooming generally does not recommend shave-downs below a #10 blade unless medically necessary, specifically requested by the owner, or required to safely remove severe matting. Owners understand that shaving certain coat types, particularly double-coated breeds, may result in permanent coat texture changes, delayed regrowth, or clipper alopecia. Freshly shaved pets may also be more susceptible to sunburn and temperature sensitivity. Our groomers will always recommend the grooming option that best supports your pet's health, comfort, and long-term coat condition.

 

(vii.) Behavioral or Special Handling Fees

Some pets require additional time, specialized handling techniques, or assistance from multiple groomers due to anxiety, fear, age, medical conditions, or behavioral concerns. When additional handling or staffing is necessary to safely complete the appointment, a handling fee may be added. Owners remain responsible for any injury or damage caused by their pet while in our care.

 

(viii.) Late Pick-Up

Zen Pet Grooming is not an overnight boarding facility. Once your pet's appointment is complete, we will notify you by phone or text. We ask that pets be picked up promptly to help maintain a calm, low-stress environment for all guests. Pets not picked up within the timeframe outlined in our Late Pick-Up Policy may be subject to additional late pick-up or daycare fees.

 

7. VACCINATION POLICY

Zen Pet Grooming is committed to providing a safe and healthy environment for every pet in our care. To help protect all pets and our team members, we require that pets meet our vaccination and health requirements prior to receiving services. Vaccination requirements may vary depending on your pet's age, medical history, and applicable state or local regulations. Unless otherwise permitted by law or approved by our management, required vaccinations must be administered by a licensed veterinarian at least 48 hours before your appointment. By signing this Grooming Agreement, you certify that your pet is current on all legally required vaccinations, including Rabies, and that you have disclosed any known medical conditions or exemptions. Proof of vaccination, current titer testing (when applicable), and your veterinarian's contact information must be provided upon request. Zen Pet Grooming reserves the right to refuse or postpone services if adequate vaccination records cannot be verified or if we determine your pet may pose a health risk to other pets or our staff.

 

8. SAFETY WARNINGS

The safety of our pets, pet parents, and team members is our highest priority. While every reasonable precaution is taken, grooming involves handling animals that may react unpredictably.

(i.) Contagious Diseases, Aggressive or Dangerous Pets

Animals may bite or react unexpectedly during grooming. Owners must disclose any history of biting, aggression toward people or animals, anxiety, fearfulness, or sensitivity to grooming procedures before the appointment. For the safety of everyone involved, Zen Pet Grooming reserves the right to use humane safety equipment, including muzzles when appropriate, or to refuse, modify, or discontinue services at any time. Owners remain responsible for any injury or damage caused by their pet while in our care.

(ii.) Interaction with Other Pets

Although pets are carefully supervised, brief interactions with other pets may occur while entering, exiting, or moving throughout the salon.

While Zen Pet Grooming takes every reasonable precaution to provide a safe environment, no facility can eliminate every possible interaction. Owners remain responsible for any injury or damage caused by their pet to another person, pet, or property.

 

9. EMERGENCIES

(i.) Veterinary Authorization

If your pet becomes ill or injured while in our care and immediate veterinary treatment is deemed necessary, you authorize Zen Pet Grooming to seek emergency veterinary care on your behalf. We will make every reasonable effort to contact you first. However, if you cannot be reached or delaying treatment could endanger your pet, we may obtain veterinary care from the nearest available licensed veterinarian.

You agree to accept financial responsibility for all veterinary expenses incurred on behalf of your pet.

(ii.) Natural Disasters & Emergencies

In the event of a natural disaster, power outage, fire, evacuation, or other emergency, Zen Pet Grooming will make every reasonable effort to contact you or your designated emergency contact. If necessary, we may transport your pet or arrange temporary care until your pet can be safely reunited with you. While every effort will be made to protect all animals in our care, human safety must remain our highest priority during emergency situations.

 

10. GENERAL HEALTH & STRESS

 

(i.) Health Conditions & Grooming Stress

Grooming can be physically and emotionally stressful, even for healthy pets. Existing medical conditions—including heart disease, arthritis, diabetes, collapsing trachea, epilepsy, cancer, respiratory conditions, skin disorders, or other illnesses—may increase the risks associated with grooming. Owners are responsible for informing Zen Pet Grooming of all known medical conditions, medications, allergies, behavioral concerns, or previous grooming incidents before each appointment. Failure to disclose relevant health or behavioral information may increase the risk of injury or medical complications, for which Zen Pet Grooming cannot be held responsible. When appropriate, we may recommend an Express Groom or modify services to minimize stress and prioritize your pet's safety.

(ii.) Senior Pets

Senior pets and pets with chronic medical conditions may have an increased risk of injury, illness, or medical complications during grooming.

Our groomers may shorten, modify, or discontinue services whenever they determine continuing would not be in your pet's best interest.

If emergency veterinary care becomes necessary, Zen Pet Grooming will follow the Emergency Veterinary Authorization outlined in this Agreement.

 

11. ABANDONMENT

Prompt pick-up is essential for your pet's health and well-being. If your pet is not picked up after services have been completed, we will make reasonable efforts to contact you and your emergency contact. Because Zen Pet Grooming is not licensed or equipped to provide overnight boarding, any pet left after business hours without communication may, at our sole discretion and in accordance with applicable law, be transferred to an emergency boarding facility, animal control, or another appropriate agency. Owners remain responsible for all grooming fees, boarding costs, transportation expenses, veterinary expenses, and any additional costs associated with caring for an abandoned pet.

 

12. CUSTODY DISPUTES

Zen Pet Grooming will consider the individual presenting a pet for services to be the legal owner or an authorized representative of the owner. If we become aware of an ownership or custody dispute, we reserve the right to require proof of ownership, written authorization, legal documentation, or a court order before releasing the pet or providing additional services. Zen Pet Grooming may also involve local law enforcement or animal control whenever necessary to safely resolve a custody dispute.

 

13. PHOTO & VIDEO RELEASE

We love celebrating our guests. Unless you notify us otherwise in writing before your appointment, you grant Zen Pet Grooming permission to photograph or record your pet before, during, or after grooming. These images and videos may be used, without compensation, for marketing, advertising, educational materials, social media, our website, and other promotional purposes. Ownership of all photographs and videos captured by Zen Pet Grooming remains with Zen Pet Grooming.

 

14. PRIVACY & INFORMATION COLLECTED

Zen Pet Grooming collects and maintains only the information reasonably necessary to provide safe, high-quality grooming services.

By signing this Agreement, you consent to our collection and use of your information for appointment scheduling, customer service, marketing communications, and maintaining your pet's grooming history. If your pet is involved in an injury, bite, emergency, or other reportable incident, you authorize Zen Pet Grooming to provide relevant contact information to veterinarians, physicians, insurance providers, animal control, law enforcement, public health officials, or other parties with a legitimate need to know.

 

15. RELEASE & LIMITATION OF LIABILITY

Except as expressly provided in the Service Guarantee contained within this Agreement, you release and agree to hold harmless Zen Pet Grooming, its owners, employees, contractors, agents, and representatives from any claims, damages, liabilities, costs, or expenses arising out of or relating to grooming services provided, except where caused by Zen Pet Grooming's gross negligence or willful misconduct.

By engaging with Zen Pet Grooming Services, scheduling an appointment, or leaving your pet in our care, you acknowledge that:

  • You have read, understood, and agree to this Grooming Agreement.

  • All information you have provided is true, complete, and accurate to the best of your knowledge.

  • You are the legal owner or authorized caretaker of the pet receiving services.

  • You accept financial responsibility for all services, fees, and obligations described in this Agreement.

This Grooming Agreement shall remain in effect for all future appointments unless updated or replaced by Zen Pet Grooming.
